Function / Content

This guide contains lists of authorised primary and secondary subject classification headings and serves as a partial finding aid for VPRS 16575, General Correspondence - Multiple Number System.

The series contains three versions of the guide. An earlier typed version contains handwritten annotations and additions, which are then incorporated into a later updated version (two copies included).

A memo circulated by the Chairman and General Manager in 1971 indicates that the guide was to be prominently placed in the filing area to enable staff to locate a series of files on a particular subject or to locate a specific file if the number was not known. Executive secretaries were aware of its function and relief file clerks were trained in its operation.

The production dates of the guides are subject to further research.

How to use the records

This guide functions as a partial finding aid for VPRS 16575, General Correspondence - Multiple Number System. The opening page of the guide lists a series of steps for locating a particular file if the file title was known. This involved studying the lists of Primary and Secondary headings for the most likely subject matter of the file. The next step would be to refer to the appropriate index card to locate the Tertiary number (index cards for all individual files were stored in alpha-numeric sequence). The whereabouts of the index cards is subject to further research.
If you are searching for files on a particular subject, browse the File Location Guide to locate the appropriate Primary and Secondary headings. Then browse the list of records for relevant files.

Recordkeeping system

No formal recordkeeping system. This guide functions as a finding aid for VPRS 16575.
