Public Record Office Victoria (PROV) provides three FREE online training modules to help Victorian agency staff to better understand their recordkeeping responsibilities. See below for more information on each module. Courses are available through the PROV eLearning portal.

 

Get to know: AI and recordkeeping

Artificial Intelligence (AI) is increasingly embedded in everyday workplace tools - from drafting and summarising content to analysing data and automating processes. This brand new short introductory module explains what that means for recordkeeping in the Victorian public sector.

Learn how to recognise when AI is being used, understand the risks it may introduce, and know what needs to be documented to support transparency, accountability and ethical practice.

You'll learn how to:

  • identify common types of AI used in workplace systems
  • recognise where AI may be influencing your work
  • understand recordkeeping risks such as bias, inaccuracy and lack of transparency
  • document AI use to support compliance and public trust.

No technical knowledge required.

Recordkeeping Essentials online training module

PROV's eLearning module Recordkeeping Essentials is available for all employees of Victorian agencies (including contractors and volunteers) with responsibilities under the Public Records Act 1973. Its aim is to increase awareness and improve understanding of your recordkeeping obligations at work.

 

Digital Recordkeeping online training module

PROV's Digital Recordkeeping training offers a clear overview of digital recordkeeping requirements, closely aligned with PROV Standards but accessible to those outside the records profession. It helps public offices and staff understand and manage digital records lawfully. The module is divided into five micro-credentials, each focusing on key areas of the digital environment, allowing users to choose what's most relevant. A Digital Recordkeeping Certificate is awarded upon completing all five credentials.

 

Creating a profile

If you create a profile (username and password) and do not receive an email confirming your enrolment, please check your junk mail or spam folder. Some participants may not receive their confirmation email if it is blocked by agency mail servers. We monitor the registrations throughout the day and confirm manually. If you still can't login after 24 hours using the login and password you created when registering please contact elearning@prov.vic.gov.au.

 

Externally provided training

PROV does not conduct training sessions about general records management concepts or the recordkeeping standards. However, there are training courses available from or endorsed by archival and records management professional bodies.
